We'd like you to join us as an Estates Admin Supervisor at our support service in Albrighton

Job Purpose:

To work and supervise within a team providing a facilities management support service to the various care centres and hospitals within the Active Care Group portfolio. You will need to answer calls from sites and liaise with contractors to ensure timely repair work is carried out. You will also assist with organising the planned preventative maintenance programme for the sites.

What you'll be working:

  • Working 5 days a week
  • 37.5 Hrs per week
  • Monday to Friday
  • You will be based in our small office in Albrighton, South Staffordshire, with the flexibility to work from home 1 day a week.

What you'll be doing:

  • Manage incoming calls and emails for the Company and extract key information to enable the correct contractor to attend the site and carry out the necessary repair/maintenance.
  • Line manage 3 estates admin operatives.
  • Fortnightly reporting to Head of Estates on outstanding logged works, fire risk assessment and water risk assessment compliance.
  • Track all re-active jobs to completion, keeping site fully aware of any issues arising.
  • Ensure work is completed in a timely manner.
  • Carry out administration tasks for the planned PPM schedule and take calls from site for emergency reactive callouts.
  • Prepare invoices and sort and collate invoices relating to reactive callouts made.
  • Update spread sheets for service line information and issue certificates received to the help desk
  • Ensuring that RAMS are provided prior to work being undertaken and by reporting any area posing a potential health and safety concern.
  • Maintain and fire risk assessment and water risk assessment log and works required.
  • Be flexible and adaptable.
  • Undertake any other appropriate roles and responsibilities as requested and required.

What you'll have:

Experience:

  • 2 year supervisory + administration or helpdesk experience.
  • Work as part of a team and carry out tasks as directed by the head of estates.
  • Have an obvious passion and commitment to providing a superior service to the business and its residents, patients, families and staff and the desire to make a difference in everything that they do.
  • Have the ability to work under their own initiative and multi-task in a high-pressure environment with care and compassion
  • Be a strong communicator and influencer with the ability to communicate effectively both verbally and in writing
  • Be required to develop and maintain good working relationships with colleagues, visitors, carers, members of the multi-disciplinary care team and senior professional and managerial staff.
